At Patients Know Best, we send email notifications to keep you informed about changes to your health record. These updates are designed to ensure you don’t miss critical information, such as new appointments, documents, or messages from your healthcare team.
To avoid overwhelming you, we group some updates while sending others immediately:
- Notifications for new appointments, documents, or changes to sharing permissions are sent as soon as they occur.
- Other updates, like profile changes or test results, are sent in a single daily email.
If you’d like to tailor the frequency of notifications, you can adjust your preferences in your record.
Managing your notification preferences
You’re in control of how often you hear from us. To change your settings:
- Open your Profile page in Patients Know Best.
- Under Notification Preferences, choose your preferred option:
- Default: You’ll receive important updates, like new appointments, immediately, while general updates will be grouped into one daily email.
- Time-sensitive only: You’ll only receive notifications for the most critical updates, such as appointments, new documents, or password resets.
If you manage someone else’s record (such as a child or someone you care for), you’ll still receive notifications about changes to their record.
Why have I been notified about a new team?
When a healthcare team connects to your record, it means they hold information about your care. This team could be one you’ve recently interacted with or one involved in your care in the past.
Sometimes, the name of the team might not be familiar. This is often because healthcare providers share resources, such as laboratories or clinics. For instance, a hospital you’ve never visited might appear in your record because it processed your test results.
By registering for PKB, you can view your record and manage who can access your information. If you have questions about a specific team, we recommend contacting your healthcare provider directly for clarification.

Why did I receive a "Profile update" notification but can't see any changes?
Sometimes, you might receive a notification about a profile update, but when you check your record, no major changes are visible. This is because updates to your profile can include minor adjustments, such as:
- Adding or updating a line in your address.
- Adjusting administrative details, like your title.
These small updates may not always appear obvious in your record but are part of keeping your information accurate and up to date.
If you’d like to reduce the number of notifications you receive about profile updates, you can adjust your email notification settings.
For unregistered patients
If you’re not registered for Patients Know Best, you may still receive notifications about new appointments or other updates. These emails are sent because your healthcare provider uses PKB to manage your records securely and we want to give you the option to see this information.
